sfb Strengthens Scalable Digital Learning on Microsoft 365 with EasyLife 365 Collaboration and Swiss IT Professional

The college runs a highly integrated digital learning platform on Microsoft 365, designed to remain open and adaptable to different tools and integrations. As adoption accelerated, the number of Teams and SharePoint sites grew quickly. sfb needed to maintain dependable standards for structure, security, and compliance across this expanding landscape, without restricting teachers or introducing manual governance processes that could not scale.

The environment now encompasses more than 1,500 Teams for classes and modules, more than 2,000 students, and around 500 teachers. At this size, predictable governance became essential. sfb had to ensure that new learning spaces stayed secure and compliant as growth continued, while avoiding the risk of data leakage. Its best-of-breed approach and automation focus also meant that any governance solution had to be both effective and affordable, while remaining open for future integrations. At the same time, sfb wanted to prevent governance from turning into a complex long-term architecture that would consume scarce resources, especially since manual oversight was not realistic at this scale.

To meet these requirements, sfb worked with Swiss IT Professional to implement EasyLife 365 Collaboration. The solution brought clear rules, transparency, and automation into the learning platform, allowing Microsoft Teams and SharePoint to stay adaptable for education while enforcing consistent security and compliance by default. With EasyLife 365 Collaboration in place, sfb runs its learning environment using governance features such as:

  • Template based provisioning for courses, where Teams and SharePoint sites are created from standardized templates with naming rules, required information, and preconfigured settings suited to teaching scenarios.
  • Ownership and activity confirmations, where EasyLife 365 Collaboration regularly prompts owners to confirm that learning spaces remain active and needed, keeping the environment focused.
  • Access reviews that guide owners to validate membership and permissions on a recurring basis so access stays correct over time.
  • Automated cleanup, where inactive or unconfirmed spaces are archived or removed based on policy, preventing long term sprawl.
  • Controlled guest access, where external invitations follow dedicated guest templates and policies, helping sfb keep outside collaboration minimal, compliant, and aligned with its security boundaries.

Today, sfb benefits from a Microsoft 365 learning environment that grows without becoming harder to manage. Governance, confirmations, reviews, and cleanup run automatically, so the landscape can expand beyond 2,000 Teams without additional administrative pressure on IT. Every new course space follows the same consistent setup, improving navigation for students and reducing repetitive configuration work for teachers. Risky configurations and uncontrolled guest access have been greatly reduced since rules are applied at creation and reinforced through ongoing policies. By avoiding custom development for provisioning and lifecycle governance, sfb saved more than 15,000 CHF and around one month of development effort. Feedback from internal stakeholders highlights the simplicity of creating new Teams and the value of pre-provisioning features, while the implementation partner emphasized EasyLife 365’s proactive, hands-on support throughout the project.
