As the adoption of Microsoft Teams increased in Behr Bircher Cellpack BBC AG, so did the complexity of managing the company's collaboration environment. Teams were created ad hoc, guest users remained in the system after collaboration had ended, and visibility across active and inactive workspaces declined. Behr Bircher Cellpack BBC AG also lacked a standardized process for reviewing, extending, archiving, and cleaning up collaboration spaces.

At the same time, ServiceNow was already established as the company's central IT service management platform. The goal was therefore clear: retain one familiar request and approval process in ServiceNow while enabling seamless, policy-based execution in Microsoft 365.

Together with novoSYS, Behr Bircher Cellpack BBC AG implemented EasyLife 365 Collaboration using an API-first integration. Instead of introducing an additional frontend, ServiceNow remains the single-entry point for users. Approved requests are transferred through the EasyLife 365 REST API, and EasyLife 365 automatically provisions and governs the requested Microsoft 365 resources using predefined templates.

The solution supports:

• Requests for Microsoft Teams, SharePoint sites, Microsoft 365 Groups, and guest accounts initiated directly in ServiceNow

• Existing ServiceNow approval workflows as the central request and decision process

• Automated provisioning through predefined templates after approval

• Structured reviews, extensions, archiving, and cleanup throughout the collaboration lifecycle

• Controlled guest access to reduce the risk of external users remaining after collaboration ends

• Consistent governance policies without changing the user-facing ITSM experience
